Filter tasks

Learn the filtering capabilities of Reltio Inbox.

  • Sign in to the Hub and navigate to the Reltio Inbox.
  • Filters are also available in the Inbox, Sent, and All tabs.

Customize your folders - Inbox, Team, Sent, and All - by adjusting their filters to suit your specific needs. These customizations are stored within your browser's session. Watch this video to learn how customized filters are stored:

Note: The filters you customize are stored in your cache, and are lost if the cache is cleared.
  1. Select the Navigation icon on the upper left corner of the Inbox page.
    The available filters are displayed.
    Note: When you change the filter criteria, the count of filtered tasks displayed is updated accordingly.
  2. From the Created by dropdown, select a name.
    The tasks are filtered based on the entered username.

  3. From the Task type dropdown, select a particular task that you want to filter.

    For example, to view DCRs assigned to a specific user,
    1. From the Created by, select the user.
    2. In the Task type dropdown, select Data Change Request Review.
      After selecting the Task type, the Step filter dropdown list is enabled and the steps are populated. The Step filter enables you to filter tasks at a specific step of the Workflow process.
      Note:
      • When tasks with multiple steps are selected, the Step filter will list all the steps associated with that task.
      • The Steps are specific to the Task type selected.
      • The options available in the Step filter, depend on the Workflow task definition deployed in your tenant at any instance. If the definitions are changed resulting in the addition or deletion of the steps, the steps available before the changes won't be available for you to filter.
      The Reltio Inbox can filter Workflow tasks by specific variables. Task variables filters are available on all Inbox tabs. For more information, see Overview of Workflow Task Variables.
      Note: The filter searches the workflow tasks for the specified task variables of string types only.

      The following task variables are pre-configured for the Reltio default (OOTB) workflows only (DCR, Potential Match Review, Authoring and Recommend for Delete):

      • Entity Type
      • Relationship Type
      • DCR Type
        Note:
        • The Entity Type enables you to filter using entity-types defined in your L3 configuration.

          For example, HCP, HCP, Individual, and so on.

        • The Relationship Type filter enables you to filter using relation-types defined in your L3 configuration.

          The Filter types are task variables and are configured to the OOTB workflow definitions, deployed in your tenants. For more information, see Overview of Workflow Task Variables.

        • The DCR Type filter can only be selected, when the Data Change Request task type is selected.
        • To map these variables to custom workflows, review the task listener class of the API and map the listeners to the Workflow definition deployed in your tenant. Currently, the following Filter Types are set for Entity Type, Relation Type, and DCR Type respectively:
  4. Enter the required value from the dropdown.

    • The filter value enables search with full or part of the filter value. For example, to search with INSERT_ATTRIBUTE as DCR type, you can select INSERT_ATTRIBUTE as the value and the system filters all DCRs with the type INSERT_ATTRIBUTE.
    • The filter value is dynamic. You can update the value depending on the selected value.
      For Example, when you select the DCR Type, you can enter the following values:
      • INSERT_ATTRIBUTE
      • UPDATE_ATTRIBUTE
      • DELETE_ATTRIBUTE
      • PIN_ATTRIBUTE
      • IGNORE_ATTRIBUTE
      • CREATE_ENTITY
      • CREATE_RELATIONSHIP
      • UPDATE_ROLES
      • UPDATE_TAGS
      • UPDATE_START_DATE
      • UPDATE_END_DATE
      • UPDATE_PROFILE_PIC_BY_URI
      • UPDATE_PROFILE_PIC_BY_URL
      • DELETE_RELATIONSHIP

      Every workflow task has filter types associated with the workflow process or specific to a step. For more information, see Overview of Workflow Task Variables.

  5. Enter the specific Entity ID.
    The filter runs a Search for Workflow tasks related to the specified entity.
    Note: In the Entity ID, multiple IDs are supported.
  6. Enter the DCR ID.
    Note: In Inbox, all the Data Change Requests (DCRs) pertaining to the provided IDs are filtered. Now, you can Search for multiple Entity-ID and DCR IDs. The system will filter and display the records matching any of the entered IDs.
    Workflow tasks related to the specified DCR ID are filtered.
  7. In the Priority dropdown list, select the priority of tasks you want to filter.
  8. From the Date created dropdown list, choose a date range.
    The tasks created in the specified date range are displayed.
  9. Select the checkbox to select a task.
    The particular task will be highlighted. Choose an appropriate action.

    Note:
    • You can do actions on filtered tasks in bulk.
    • The bulk actions can be done only on tasks of the same type.
    • After you initiate a bulk action, you can see that the action buttons depend on the type of task selected for bulk.

      For example, for a Data Change Request (DCR) the actions are Approve and Reject.

      Similarly, for PMR, the actions will be Merge and Not a match.

      Similarly for the Delete action, it will be Delete and Cancel.

    • For a DCR, if you approve using bulk actions, the entire DCR gets approved. The partial approval or partial rejection isn’t possible.
After you initiate the action, you can see a confirmation message on the screen. You’ll receive an email with the status of the bulk action. The email lists failed tasks, which were to be actioned through bulk action. Select the hyperlink provided against the failed Task IDs in the email to access the Inbox directly.
