Use Search Before Create in Veeva Vault CRM

Learn how to search for existing records, review match confidence levels, and import matching records by using Search Before Create in Veeva Vault CRM.

Prerequisites

Before you use Search Before Create, confirm that the following prerequisites are met:

  • Search Before Create is configured and published in Veeva Vault CRM.
  • You can access the Search Before Create tab from the top navigation bar.

Search for an existing record

Use the following steps to check for an existing record before you create a new record in Veeva Vault CRM:

  1. In Veeva Vault CRM, click Search Before Create in the top navigation bar.
  2. Select one of the following account types:
    • Professional (HCP)
    • KOL
    • Hospital (HCO)
  3. Enter the search fields based on the following account types:
    • Professional (HCP) and KOL: Enter values for the available search fields.
    • Hospital (HCO): Enter Name and NPI.
      Note: The search fields you enter must align with the configured match rules for the selected account type. If the required match-rule attributes are not provided, the search does not return results.
  4. Click Search.

    The Search button is disabled until you enter at least one search field.

  5. Review the results.

Review match confidence levels

Each search result includes a match confidence score to help you assess the likelihood of a match.

Match Score RangeMeaning
90% and above (Green)Strong match. Key fields such as Name and NPI matched exactly. Review the record, and then import if it is the correct match.
70–89% (Blue)Likely match. Most fields matched. Review the record before you import it.
40–69% (Yellow)Possible match. Some fields matched. Review the record carefully.
Below 40% (Grey)Weak match. The record might not be the same record. Do not proceed unless you confirm that it is the correct match.

Import a matching record

Use the following steps to import a matching record from Reltio into Veeva Vault CRM:

  1. At the bottom of the page, in the search results, click Preview for a record from Reltio Customer Tenant or Reltio Data Tenant.
  2. Review the record details in the preview dialog.
  3. Click Import.
  4. Confirm the import in the confirmation dialog.
Note: Import is available only for records from Reltio Customer Tenant or Reltio Data Tenant. Records that already exist in Veeva Vault CRM display the Use This Record button instead.

Result

You can search for existing records, review match confidence levels, and import a matching record into Veeva Vault CRM when required.
